This application may open automatically during synchronization and ask for new element implementation to be able to proceed with digital diary data. This is not relevant as the digital diary will run the data synchronization. For detailed information please refer to the pen software documentation. -3- 2 Digital Diary Software Digital Diary software allows you to transfer handwritten information from the Easybook7 diary to your PC where it will update your diary and address book in the personal information manager of either your Outlook or Lotus Notes, whichever is installed on your PC. [. . . ] If the selected address book is not correct, click on No to access a dialogue box that will allow you to select the correct address book. 15. At the end of the installation, a final message will appear to inform you that the mail databases and Notes folder have been updated. Press Esc to quit the installation program and return to the installation welcome window. - 10 - 5 Appointment diary This chapter describes how to create appointments on the Oxford Easybook digital diary. Although the presentation in Lotus Notes differs somewhat, results will be identical. 5. 1 Creating an appointment 1. Trace a line that indicates the allotted appointment period, start time to finish time, in the time area. Write the appointment reference on the grid to the right of the traced line. Make sure what you write remains within the space enclosed by the start and finish time otherwise it will not be taken into account. Please note that steps 1 and 2 can be reversed: you can also write the appointment reference first, then trace the line that corresponds to the time and the length of the appointment. The data is transferred from the pen towards your MS Outlook or Lotus Notes PC diary. The Digital Diary program rounds appointment time off to the nearest half-hour. If the appointment does not overlap an existing appointment, the program will create a new appointment in the PC diary by acknowledging the reference noted on the paper and by adding an image of the paper captured by the pen, much like a graphic object. If the new appointment overlaps an existing appointment, the program interprets the data as an update of the existing appointment time. The program thus defines a new start or finish time for the existing appointment without modifying the reference of the new appointment, without creating a new appointment. If the new appointment overlaps an existing appointment, the image of the paper captured by the pen is merged with the image of the existing appointment. On the PC screen, double click on the appointment to open and, if necessary, modify its parameters. In Outlook, once the appointment is "open", click on the Graphics tab to view the image captured on the paper diary by the pen. In Lotus Notes, the image captured on the paper diary by the pen is directly displayed on the appointment screen.
